General Information

Participation by a wide range of cultural heritage repositories is a primary objective of the Ohio Memory Project. The project staff invites archives, historical societies, libraries, museums and other organizations with historical collections to submit their treasures for inclusion in the Ohio Memory Online Scrapbook. There are five steps in the submission process: submission, selection, digitization, database creation, and publication. For background information on all of these steps, you may also wish to consult the PowerPoint presentations which were used at the Ohio Memory workshops.

Step 1: Submit Collections for Consideration

  • Identify your organization's treasures
  • To get ideas and guidance on which of your historical treasures to consider contributing to the Ohio Memory Project, review the submission criteria. You may wish to check out the Ohio Memory subject categories to get an idea of topics covered in the project and to see some examples of possible submissions. Also, keep an eye on the Desired Submissions page, which provides a list of areas that are underrepresented in the project. Collaboration with other institutions in your area is also encouraged prior to making a submission to Ohio Memory. A few tips on evaluating your historical resources may also help you in deciding what to submit for the project.

  • Complete submission forms
  •   To start the submission process, you should first obtain the submission form as a downloadable file or use the online form. After filling out the form, review your form before sending it in, just to make sure that you've suppled all of the necessary information.

Step 2: Selection
Once the Ohio Memory Project Team receives your submission, a Content Editor will contact you to obtain additional information. The project team will select materials based on established submission criteria.

Step 3: Digitization

Materials accepted for the scrapbook may be digitized by staff at the Ohio Historical Center, the submitting institution, or any other convenient location, provided that certain technical standards are met. To gain a general understanding of scanning terms and techniques, see the section on General Digitization Information. If you plan to digitize your own materials, please read the Ohio Memory Scanning Guidelines, the Ohio Memory Digital Camera Guidelines, and the Digitization FAQ prior to starting. Also, if you are submitting handwritten materials, you will need to follow the guidelines outlined in How to Prepare Transcripts. Step 4: Database Creation

Project staff will store images and descriptive text about them in a database. Text that will display on screen together with the images will include, but is not limited to, the submitting institution's name, web site, or other contact information; collection or item name; author or creator; dates; subjects. The information will also help users find and understand items in the Ohio Memory Online Scrapbook.

Step 5: Publication in the Online Scrapbook

Once the digital images and descriptive information are part of the database, they will be accessible to the public through the Ohio Memory Online Scrapbook at http://www.ohiomemory.org. Look for a prototype of the scrapbook early in 2001.
